154.00 MAIL SERVICES


All incoming and outgoing mail services for the college are under the direction of the business office through the mail room.

  1. The correct mailing address for the College is as follows:
    Cowley County Community College
    125 South 2nd Street -- P.O. Box 1147
    Arkansas City, Kansas 67005-1147


    Do not delete any of this address from your correspondence. The only other address used at the College is for freight shipments only. It is as follows:

    There are no other street address at the College only building names.

  2. Incoming mail is distributed to college administrative offices and the department mail boxes. Large packages and parcels are delivered to offices and classrooms by central receiving staff.
  3. Outgoing mail may be left in the mailroom where it is metered and dispatched to the post office twice daily, at approximately 11:00 a.m. and 4:00 p.m. All outgoing mail should be deposited in the mailroom no later than 3:30 p.m. for same day dispatch.
  4. When depositing mail in the mailroom in quantities, mail should be deposited in four separations: Out-of-Town, In-Town, In-House,and Dorms.
  5. Packages up to 10 pounds can be weighed and metered in the mailroom. Heavier packages can be mailed but they will be delayed until weight and postage is determined from the post office. Packages to be mailed or merchandise returned will be prepared for mailing by person who is sending the package. Assistance will be given by the mailroom if requested.
  6. Presort 1st class mailings (a minimum of 500 pieces is required). This is mail of a personal nature and not identical in content. Please contact the mailroom for instructions or assistance in the preparation of this type mail, it can create a financial savings for the college. .
  7. Bulk mail (minimum of 200 pieces) is the most effective way of saving money for the college. This is mail that is identical in content and weight. This type of mailing must be used as much as possible. Please contact the mailroom for information about requirements and preparation of this type mailing. .
  8. The other types of mailing available are 1st CLASS - PRIORITY MAIL -3rd CLASS - 4th CLASS - BOOK RATE - LIBRARY RATE. EXPRESS MAIL service (overnight) is available in extreme cases of emergency and must be approved by the mailroom. .
  9. The mailroom does not handle U.P.S. or other carrier shipments or returns. These should be coordinated with central receiving and shipping staff. .
  10. Stamped personal mail may be deposited in the mailroom for mailing but no personal mail will be processed through the college postal machine. Please do not have personal mail addressed to the college. .
  11. The college mail services are a large part of the budget and should be used very wisely. The mailroom will be glad to help you in anyway it can in this endeavor.
